We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a pivotal role in ensuring smooth day-to-day operations, supporting various departments, and providing exceptional administrative support to our team of arborists. Responsibilities: Client Communication: Handle incoming calls, emails, and inquiries from clients, ensuring prompt and courteous responses and directing calls to the appropriate team members. Scheduling: Coordinate appointments, tree care services, and arborist visits, ensuring efficient scheduling and optimizing the team's productivity. Data Entry and Record Keeping: Accurately input data into company systems, maintain records, and update client information as needed. Billing and Invoicing: Assist in the preparation of invoices and billing statements, ensuring accuracy and timely delivery to clients. Document Management: Organize and maintain digital and physical documents, contracts, and other relevant paperwork. Support to Arborists: Provide administrative support to the arborists, including preparing reports, proposals, and presentations. Quality Assurance: Assist in monitoring customer feedback and reviews, ensuring customer satisfaction and addressing any concerns promptly. General Assistance: Provide general support to different departments as required and assist in special projects when needed. Schedule: Monday - Friday (7am - 3pm) Requirements: Previous experience in an administrative role is preferred, with a track record of handling diverse responsibilities. Organizational Skills: Excellent organizational skills and the ability to prioritize tasks efficiently. Communication: Strong written and verbal communication skills with a professional and friendly demeanor. Proficiency in MS Office (Word, Excel, PowerPoint) and familiarity with cloud-based collaboration tools. Meticulous attention to detail and accuracy in data entry and record-keeping. Problem-Solving: Proactive problem-solving skills, ability to think on your feet, and make sound decisions. Adaptability: Flexibility to adapt to changing priorities and work well under pressure.
