The purpose of this position is to provide clerical and administrative support to the Recycling and Trash Division. This is accomplished by receiving phone calls in a high call volume call center, greeting and directing walk-in visitors, creating and distributing correspondence, copying, faxing, making travel arrangements, distributing mail, completing reports, maintaining office supply inventory, completing departmental purchase orders, processing invoices, assisting with budget preparation, and maintaining records and files. Other duties monitoring the budget, keeping employees informed of work related activities, assisting other departments, maintaining employee records, and providing back up support for other clerical staff.

Typical Tasks

  • Provides administrative support for the assigned department executive by answering the phone, screening and referring callers, scheduling appointments and maintaining the calendar, locating and providing information to citizens, maintaining the department filing system, typing, printing, and distributing departmental correspondence, making travel arrangements, distributing mail and maintaining records and filing systems.
     
  • Provides clerical support to the assigned department by faxing and copying documents; attending meetings and taking minutes of the meetings and assisting with logistics; maintaining documents; and ordering and maintaining office supplies.
     
  • Coordinates the preparation and submission of regularly scheduled information such as payroll, budgets, requisitions and purchase orders, and grant applications, develops recommendations for policy and procedure changes, and assists or coordinates special projects.

Qualifications

Formal Education
Work requires knowledge of a specific vocational, administrative, or technical nature which may be obtained with six-months/one year of advanced study or training past the high school equivalency. Community college, vocational, business, technical or correspondence schools are likely sources. Appropriate certification may be awarded upon satisfactory completion of advanced study or training.
 
 
Experience
Minimum one year.
 
 
Certification & Other Requirements
  • Class C Drivers License
  • Ability to obtain FEMA certifications within 120 days of hire. Excellent telephone and organizational skills. Microsoft Office skills and ability to learn work order and customer database software applications.
  • Ability to effectively and professionally handle high call volumes while remaining calm and understanding to citizens. 
  • Proficient in Microsoft Excel to maintain and update spreadsheets to track key metrics

Health Benefits are offered to employees working at least 30 hours per week. 

Health Insurance - The City offers two options for health coverage: a standard PPO plan and a High Deductible Health Plan with an associated Health Savings Account. Coverage becomes effective the first day of the month following 30 days of employment for employees and their eligible dependents. Both you and the City contribute to the overall cost of coverage.  
Dental Insurance - Coverage becomes effective the first day of the month following 30 days of employment. Employees, their spouse and dependent children are eligible for coverage.

Life Insurance - The city pays to provide coverage valued at one times your annual salary. Supplemental insurance is available for employees to purchase. Optional coverage for dependents is also available for purchase.

Retirement:
 - NC Local Government Retirement System - All benefits eligible employees make a mandatory 6% contribution every pay period.

 - Deferred Compensation – The city contributes an amount equal to 4.5% of the annual salary to a 401(k) plan regardless of employee contribution. Employees may choose to contribute additional money to the 401(k) or 457 deferred compensation plans, without a match from the City, within the IRS guidelines.
 
Paid Leave (offered to employees working at least 1,000 hours annually*): 
 - Sick Leave - 12 days accrued each year
 - Annual Leave - Accrual based on years of service and classification. Employees can earn from 10 to 24 days each year.
 - Holidays - 13 paid holidays annually
 - Paid Parental Leave - Six weeks of paid leave for the birth, adoption or placement of a child (must run concurrently with FMLA).

*Part-Time Employees will earn paid leave benefits on a pro-rated basis.
