Duties include but not limited to the following: Department-Specific Responsibilities Acts as a key representative to, and serves as the primary point of contact for the Office of Development and Alumni Relations and Office of Marketing and Communications. Performs administrative and support work through of a variety of routine and non-routine tasks to ensure the successful flow of daily operations including running donor reports, inputting data requests, preparing mailings, coordinating alumni visits and donor events, and handling stewardship requests from the Development team. Processes vendor contracts and invoices and works with IU finance and purchasing to generate PO's; coordinates with vendors to ensure POs are paid and received on time. Makes travel arrangements, schedules and serves as liaison for directors' calendars, event venue selection, researching vendors, event materials, working with caterers and onsite coordination. General Responsibilities Provides administrative support to a department or group of professionals, exercising confidentiality, tact and diplomacy. Utilizes business software applications to prepare correspondence, reports, presentations, agendas, minutes, etc.; compiles data for expense and statistical reports. Receives, screens, and directs incoming calls, visitors, mail, and email promptly, courteously, and accurately. Schedules and confirms appointments, meetings, and travel arrangements; tracks expenses. Participates in the development and implementation of administrative standards, policies and practices for the organization. May perform other duties related to maintaining an internal website and/or working with social media. Qualifications Combinations of related education and experience may be considered.
