POSITION SUMMARY - This position is based in Arlington-VA, Peru, Guyana, Philippines, or Cambodia. The Field Accounting Senior Coordinator role directly supports Conservation International's global field programs to ensure the integrity of their financial data. This is achieved through the review and analysis of each field program's accounting transactions, balance sheet reconciliations, trial balances, and audit schedules. They work with the field office operations and accounting staff to maintain timely, accurate, and complete accounting records in compliance with CI policy, US Generally Accepted Accounting Principles (US GAAP), local accounting policies, and local laws and regulations. This position will work closely with country program operations staff and regional staff to identify and correct any weaknesses or gaps in the execution of these functions, as well as provide training and support as required. This position reports to the Field Accounting Manager. RESPONSIBILITIES Financial & Accounting Management: Review and oversee accounting in each office, ensuring transactions are properly recorded, classified, and supported with appropriate documentation. Ensure compliance with CI's global policies and procedures, external donor requirements, and local laws and regulations. Perform detailed review of monthly accounting schedules and reconciliations prepared by each country office for completeness, timeliness, and accuracy; advise of any irregularities. Perform timesheet transfers and payroll expensing for the subset of country programs that (s)/he will oversee. Perform monthly reviews of field retirement accruals for completeness and accuracy; prepare journal entries to transfer retirement liabilities from the field to a US set of books for remittance. Perform monthly analytical reviews of account balances, seek justification for unusual or unexpected results, and/or provide necessary guidance to correct discrepancies. Evaluate and correct foreign exchange errors/discrepancies identified in the GL. Prepare reclasses or other manual journal entries as required. Prepare monthly reconciliation of CI's intercompany due to/from accounts. Prepare journal entries for the completed field projects. Monitor & Oversee: Monitor timesheet compliance and ensure that any missing timesheets are completed, and appropriately reclassed using proper tools developed by Finance. Quarterly review and analysis of field fringe rates to ensure completeness and allowability of employee benefit expenses and proper allocation between donors. Quarterly reviews of Project Administrative Support Costs (PASC) to ensure completeness and allowability of expenses charged. Maintain data in Visual Lease software, and update lease-related information for the field programs. Annually collect statutory holidays for the calendar year, input the dates into Business World, and ensure limit controls are updated. Monitor eligible-to-pay reports for each field program to ensure Fx discrepancies are minimized, and manual matching is performed. Review requests for new bank accounts, ensure the appropriateness of account signatories, and prepare letters for authorization by the CFO. Maintain bank account asset master files in Business World. Prepare banking schedule for CI's annual FBAR filing. Support & Training: Assess development needs and deliver training to field Finance operations staff on Business World modules, templates or upload tools and other accounting-specific areas. Assist country programs in correcting and improving identified areas of weakness, and ensuring policies, procedures, and regulations are followed and internal and external deadlines are met. Provide guidance as needed on proper accounting treatment and recording of transactions. Audits & Statutory Compliance: Support CI's annual external financial audit (including separate program audits) by assisting with the collection of requested sample items, reviewing the supporting documentation, and/or providing variance explanation and analysis. Ensure that local regulations such as statutory deductions, severance, audits, and taxes are accurately documented, properly calculated, accounted for, and paid in each of the country programs. Review statutory audit filings as required by each field office independently. Other duties as assigned by the supervisor. WORKING CONDITIONS Hybrid work schedule: day-to-day interfaces with field programs will typically take place by email or Microsoft Teams calls. Some travel may be expected, approximately 1-2 trips per year. QUALIFICATIONS Required: A Bachelor's degree with a focus in Accounting, Finance, or other business-related area is required. 2 to 4 years of hands-on accounting experience, preferably with some non-profit experience. A background in public accounting or internal auditing is desirable. Experience with a financial system, preferably Business World (Unit 4). Preference will be given to candidates with the Certified Public Accountant or Certified Management Accountant designations. Strong analytical skills with respect to various forms of data and experience with complex information management. Ability to summarize and communicate clearly financial information to decision-makers in ways that suggest solutions. Ability to prioritize and manage competing deadlines. Detail-oriented and highly organized. Ability to work effectively with remote colleagues. Advanced proficiency in Microsoft Excel (pivot tables, vlookups, advanced data manipulation, advanced formulas, and other data analysis tools available in Excel). Preferred: Proven ability to conduct research, solve problems, prepare/update supporting documentation, and maintain records. Demonstrated ability to work independently and as part of a team, exercise tact and diplomacy, and maintain confidentiality. Experience working with diverse groups.
