Position Summary NAES Corporation is seeking a dynamic Office Manager/Executive Assistant for our office in Woodlands (Houston area), TX. The Office Manager/Executive Assistant will provide administrative support to several members of the Executive Leadership Team. The individual in this role must be detail-oriented, possess strong communication skills, have a professional demeanor, and be results-oriented, committed to providing exceptional customer service. The Office Manager/Executive Assistant will be responsible for a wide range of support-related tasks and should be able to work independently with no supervision. The successful candidate will be an analytical thinker and highly resourceful team player comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. Essential Duties and Responsibilities Includes the following. Other duties may be assigned as needed. Office Management Manage day-to-day operations, including scheduling, supplies procurement, and vendor management. Maintain office policies, procedures, and systems to ensure efficiency and compliance. Serve as the primary point of contact for building management and service providers. Oversee maintenance and repair of office equipment, furniture, and facilities. Ensure the office environment is clean, safe, and well-organized. Handle incoming and outgoing mail, deliveries, and courier services. Assist with onboarding and offboarding employees, ensuring smooth transitions. Maintain employee directories and other HR-related documentation. Monitor and manage office budgets and expenses, including invoice processing and vendor payments. Liaise with IT support to resolve technical issues and manage office hardware and software. Ensure that office equipment (printers, phones, conferencing tools) is operational. Executive Assistant Provide executive administrative support including: travel planning, meeting planning, answering calls, preparing/managing correspondence, managing project files/documents and ordering office supplies for Team (and other senior executives as needed) Assist with Outlook calendar and meeting scheduling. Compile & distribute executive reporting packages for organization Assist with executive processing (goal letters, mid-year status updates, year-end attainment), including managing files, updating Excel tracking spreadsheet, processing edits to Excel templates, proofing, etc. Generate and distribute various daily, weekly, monthly reports to Corporate, Plant and other Divisions Perform various accounting tasks, including account reconciliations, user access reviews, assist with internal control reviews/testing, manage user access to various systems as assigned (company store, SAP, etc.) Assist with Concur expense reports Assist with preparing/editing PowerPoint slides for management presentations Actively drive special projects as assigned, including assisting with project to automate preparation of monthly financial reporting package Collaborate with other executive admin assistants and provide back-up and assistance as needed Perform other administrative and accounting duties as assigned This role will serve as the trusted office manager/assistant for a wide range of administrative support and must be a model of professionalism as they will be viewed as an extension of the executive team. The successful candidate will be self-motivated and proactive in their approach to the role. They must consistently handle sensitive and confidential information with discretion. COMPENSATION The initial compensation will range from $102,000 - $117,000.
