Serves as primary contact for staff inquiries and support, oversees internal support (ticket) system and urgently addressing needs. Coordinates all staff engagement events, including wellness initiatives and staff recognition program. Provides support to recruitment processes and onboarding activities. Job Duties and Responsibilities Oversees the internal support (ticket) system, assigns tickets as needed to members of the HR team and ensures that tickets are urgently addressed and resolved within guidelines established by department leader. Oversees and coordinates the required logistics of all department staff engagement event planning; this includes lunch-n-learn sessions, trainings, appreciation day, etc. Oversees the department’s Wellness Funds, budget, and coordinates the annual Wellness Fair event for staff and supporting events throughout the year. Collaborates with department leadership for payroll related inquiries, communicating approval reminders and providing oversight related to timecard processing and payroll closure for each pay cycle, in alignment with established procedures and policies. Assists with staff inquiries pertaining to company policies and procedures, leave requests, and benefits; escalates, as necessary. Serves as Executive Assistant to Chief Human Resources Officer with the coordination/scheduling of meetings, tracking expenses, preparation of committee/board material, documentation of minutes for committee meetings, etc. Assists with preparation, coordination, and administration of onsite and offsite medical services (e.g., flu shots, TB testing, rabies, titers, and other medical testing and vaccinations). Responsible for administration of the recruiting process within the HRIS system and collaborating with departments to support new hire orientation and onboarding activities. Partners with HR Business Partner to facilitate and maintain a targeted onboarding program, immersing staff in the zoo’s culture, mission, core values, strategic goals, etc. Ensures timely processing of department invoices and approval workflow; ensures invoices are coded properly according to budget. Provides monthly budgets updates and reports to department leader. Audits monthly benefits billing to ensure accurate payment and payroll deductions. Maintains Internal Human Resources page, communication boards, and bulletin boards with relevant, current content and information. Maintains staff files (including electronic and I-9 files) and records to ensure accuracy and compliance for employment applications, hiring, benefits, training, terminations, and other related staff information. Performs periodic audits of staff files to ensure compliance with company, state, and federal regulations. Maintains office organization through file and cabinet maintenance, ordering supplies, making copies, managing calendars, etc. Maintains office brand and functionality to assist staff in a clean and organized environment. Conducts employment verifications in a timely manner, within three (3) business days. Assists with benefits administration, gathering and providing information for audit. Ensures appropriate certifications/credentials are obtained and recorded relative to position/department specific requirements. Distributes applicable HR correspondence, notices, policies, etc. to staff via SharePoint, Dayforce or mail. Maintains basic knowledge of employment laws and compliance related topics. Inputs data and updates/maintains HRIS database; generates reports as needed. Provides support in other human resources, health, safety, and security functions by assisting with various special projects. Contributes to saving animals in the wild through reduction of waste, water and energy use and inspiring guests and staff to take wildlife protection actions. Performs other duties as assigned. Education and Experience High school diploma or GED. Minimum of three (3) years’ experience in Human Resources with strong organizational, event coordination, and communication skills. Minimum of three (3) years’ experience of administrative support. Ability to multitask multiple projects within a fast-paced environment maintaining sensitivity of stated timeline and due dates. Must possess the ability to work independently with little supervision. Maintains strict confidentiality and ability to think objectively. Demonstrates a high level of integrity for HR department and operations. Ability to effectively communicate with all levels of management. High level of proficiency with Microsoft Word, Excel, PowerPoint, and computer data entry.
